Conduct policies

To maintain a respectful and safe environment for all patrons and staff, adhere to the conduct policy at all times while using Stanford University Libraries. Some locations may have additional policies, e.g.: Special Collections & University Archives.

Food and beverages

  • A clean and pest-free environment protects library collections, equipment, and furnishings.
  • Do not eat or drink inside any of the Libraries, except water kept in sealable containers.
  • Certain areas, such as Special Collections, University Archives and the David Rumsey Map Center (as well as any other locations with posted signs) prohibit water to safeguard collections.
  • Food must be kept inside personal bags (such as backpacks). Take-out containers, disposable paper or plastic cups, and cans are not permitted inside. 

Photography and recording

  • Restrictions on photography and video recording: To protect our patrons' privacy and ensure their quiet enjoyment of our library, permission must be requested and obtained from the University Librarian prior to filming or taking photographs inside a library space. Only limited photography or recording of library materials for personal research is permitted without prior permission, though it is up to the user to determine copyright.
  • Commercial or editorial filming or photography of Libraries spaces or materials can be requested, but must be obtained in advance.

Personal transportation

  • Do not bring scooters, bicycles, skateboards, skates, or other personal transportation inside any of the Libraries, unless they are mobility aids for individuals with disabilities.
  • Bike, scooter, and skateboard parking is restricted to outdoor racks, or the item may be relocated or subject to impound, per University Parking & Traffic Code

Entry and security

  • Present a Stanford ID Card, Stanford Mobile ID with Mobile Key or Library Card when entering the Libraries. If you do not have a card, visitors who are eligible must register onsite with an original (physical), valid government-issued photo ID and agree to our Terms of Service and Privacy Policy.
  • Do not share your SUNet ID, Stanford ID Card, or Libraries Card with anyone else for Libraries’ access.
  • Show identification upon request while in the Libraries.
  • Do not circumvent visitor registration procedures. This includes creating multiple accounts or entering the Libraries without proper identification.
  • Minors without Stanford IDs must remain with a parent/guardian at all times.
  • Bag inspections at exits are mandatory at Green Library. For any library, if the exit alarm sounds or upon request by Libraries staff, you must return to the service desk for assistance.
  • All library materials must be checked out before you exit the building. Removing items without checking them out may be considered theft and may be prosecuted accordingly.
  • Do not leave personal belongings unattended. Even items of little value can attract theft. Stolen property can lead to financial loss and the compromise of personal information and important research.
  • Do not use emergency exits unless it is an emergency.
  • Leave promptly at closing time or when requested by staff. Failure to do so may be considered trespassing.
  • Do not return to the Libraries if banned. This may be considered trespassing.
  • Animals are not allowed in the Libraries, except for service animals.

Libraries’ property

  • Adhere to borrower responsibilities. Return or renew items based on their loan periods and comply with instructions sent via Libraries’ email notifications.
  • Do not monopolize resources such as spaces, equipment, or facilities, preventing others from accessing them.
  • Do not misuse, damage, or tamper with Libraries’ property. This includes writing in books, damaging materials, or altering physical property.
  • Do not rearrange or hide books. All materials must be checked out if kept in study carrels or lockers.
  • Use computers, scanners, and online resources in a way that is considerate to others. Avoid noise disruptions, inappropriate content, violating copyright or the Admin Guide, Ch. 6 Computing.
  • Do not enter staff spaces, offices, or any restricted areas.
  • Keep our spaces tidy. No littering, disorganizing books, or spreading personal belongings and/or Libraries’ property on the floor.

Behaviors and interactions

  • Engage with staff respectfully and do not engage excessively.
  • Do not harm, threaten, or intimidate patrons or staff. This includes abusive language, shouting, harassment, and indecent exposure.
  • Maintain a quiet environment while in the Libraries. Excessive talking, loud noises, music, inappropriate behaviors, or group activities that disrupt others are not permitted.
  • Soliciting, selling, or distributing materials without prior approval from Libraries’ Administration is prohibited. Requests for posting flyers or announcements must be directed to the circulation desk supervisor.
  • Use designated collaboration spaces for conversations. The libraries have generally zoned areas for noise levels and with most reading rooms for silent study. Conversations are welcome in designated areas, including service desks, lobby areas, group study rooms, classrooms, Green’s Hohbach Hall and the Media & Microtext Center, and at branches where designated. Phone calls are best taken outside or near lobby areas.
  • Tobacco and controlled substances (including electronic smoking devices) are strictly prohibited. Refer to Admin Guide 2.2.6

Focus and concentration

  • Respect the need for quiet study while in the Libraries. Clothing with symbolic messages or meaning and stickers on laptops are acceptable, unless an aggregation or concerted action creates a disruption. Carrying hand-held signs, flags or covering the furniture in signs is not permitted. Making noise, marching with signs or banners, or distributing papers are also examples of distracting behavior that is not permitted.
  • Aggregating in large groups in a way that is not typical of the ordinary library environment is likely to interfere with the quiet concentration for ordinary work and is not permitted. This can include sitting-in or blocking access to spaces, study locations, entrances or staff spaces.

Enforcement

Stanford University Libraries maintains a strict policy against disturbances and misuse of library resources and spaces. Library staff are authorized to interpret and enforce both library and university policies. They have the discretion to assess and respond to any behavior that interferes with the quiet atmosphere essential for typical library activities. This includes any collective actions that, in the staff's judgment, create a disruption.

Violations of library policies may result in staff requesting your identification and contact information, inspecting your belongings, or asking you to leave the premises. 

Additionally, you may lose access to library services, including any paid access. Please be aware that excessive engagement with staff in response to a notification of improper conduct will not be tolerated.

As a private institution on its own property, Stanford reserves the legal right to restrict access to any part of its premises, including individuals deemed likely to disrupt or who have already disrupted normal library operations.

If you witness any disturbances, please report them to any library staff member or service desk, or, if necessary, contact Public Safety directly.
